A Tale of Two Libraries
Wednesday April 30, 2025 10:30am - 11:20am EDT
In 2020, the University of Texas System announced the consolidation of UT Tyler with the UT Health Science Center Tyler into a single institution that included the merging of the campus identity system and moving away from a self-hosted EZ Proxy instance. Despite the unified vision to "Rise as One," we maintained two distinct libraries to serve the academic and health campuses of the newly combined UT Tyler. This decision presented challenges in user authentication and access management. In this session, we will discuss how we implemented and continue to manage OpenAthens to address these challenges, ensuring seamless and secure access to library resources to our diverse user populations.

Ins and Outs of Changing Everything: Migrating to New EDS and OpenAthens
Wednesday April 30, 2025 1:20pm - 2:10pm EDT
This presentation explores how one academic library serving an entirely online university executed a deep overhaul of its online infrastructure while navigating an unexpected medical crisis.

The institution made three major changes on the same day by implementing the new EBSCO Discovery Service, transitioning to the OpenAthens authentication system, and launching a redesigned website. The discussion reviews the thought processes and decisions behind combining these migrations, including resource allocation, risk assessment, and timeline management explained, as well as communicating with key stakeholders, managing expectations, and testing so, so very many links.

The presentation also addresses crisis management when the project lead, the presenter, was diagnosed with Bell's Palsy two days before launch. Learn what happened, what to prepare for with your own migrations and projects, and how to make sure you can expect the unexpected. The impact of the changes after one year will also be discussed.

This presentation offers valuable insights for library professionals planning EBSCO Discovery Service and OpenAthens migrations, or similar system migrations and changes.

Strategies for Ensuring Access to Electronic Resources from HLM MARC Records
Wednesday April 30, 2025 3:20pm - 4:10pm EDT
The importance of discovery is often brought up in academic settings, but ensuring access is just as vital for connecting patrons with materials. For resources from EBSCO’s Holdings & Links Management (HLM) record service, access takes the form of linking URLs. The details of these links are often dependent on the host, and access issues can arise in collections large and small. The number of links and potential problems scales upwards as an institution adds more collections to HLM. Manually testing URLs is a proactive method of ensuring access, as patrons finding a nonfunctional link may just move on to another resource instead of submitting a ticket and waiting for a resolution. This presentation is concerned with breaking down different types of access issues The University of Alabama has encountered and exploring tools used for more efficiently and precisely troubleshooting access problems in HLM records as well as the importance of communication with electronic resources personnel from a metadata perspective in addressing access problems and establishing more streamlined workflows.

Creating Short, Targeted, Effective EDS Tutorial Videos for Patrons
Thursday May 1, 2025 1:00pm - 1:50pm EDT
EDS is incredibly powerful, but can sometimes feel overwhelming to students and other patrons. In this presentation Simon Ringsmuth, a Digital Services Librarian at Oklahoma State University, will demonstrate the process he has used to create a series of short, targeted, effective, and engaging videos to help patrons learn various aspects of EDS including basics such as keyword searching to advanced features like custom folder sharing and boolean operators. This collaborative video-creation process utilizes free tools for ideation and scripting, as well as off-the-shelf software like Final Cut Pro and Camtasia to handle editing and screen-captures. This process is also not limited to EDS: Librarians can use this process to create tutorial videos about all manner of software tools to help patrons learn to use them more effectively. While some technical knowledge is useful, it is not required and anyone can learn to use this process to create engaging, effective tutorial videos. To see the videos that this presentation is based on, visit bit.ly/OSU-EDS-Search-Videos.

Research Databases as Community Practice: Three Perspectives on the MLA International Bibliography
Thursday May 1, 2025 3:10pm - 4:00pm EDT
Research databases are both repositories of diverse forms of knowledge and instigators of knowledge production that require the community-driven, collaborative efforts of humans. Three panelists and a moderator will discuss how, with thoughtful cultivation and use, research databases can account for various practices of knowledge gathering, preservation, and creation. Case studies will include a classroom experiment in which students gather and then visualize metadata from the MLA International Bibliography (MLAIB) to identify patterns in and omissions from the scholarship, with an eye toward history and new directions for research. The goal is to develop critical literacies about power relations built into bibliographic classification and indexing, as well as generate ideas for restorative description. Drawing on experience developing databases of Indigenous texts and iconography, one panelist will consider Western versus Indigenous ways of knowing: What are some of the differences between Western and Indigenous ways of interrogating received knowledge, and how might a database serve and promote Indigenous ways of knowing? What community, cultural, linguistic sensitivities, and other factors and etiquette need to be considered when building a database that serves Indigenous ways of knowing? Throughout, panelists will reflect on how the MLAIB bolsters community in the work that they do.

From Chaos to Clarity: A FOLIO Inventory Cleanup Project
Friday May 2, 2025 10:30am - 11:20am EDT
In many libraries, inherited data can often be disorganized, outdated, and difficult to access, creating major challenges in day-to-day operations. As UTM's new ERM Librarian, Ronne Jones Cox inherited a FOLIO inventory that included many duplicates of e-package titles and eBook Collections. She worked with EBSCO Library Services Engineer Christine McClure to clean up this chaotic data and transform it into a more efficient collection for staff and patrons alike.

This session will delve into the collaboration between a new library school graduate and a vendor rep to tackle these challenges head-on. We will explore how we partnered to clean up chaotic data, transforming it into an easily accessible, efficient system for staff and patrons alike.

The session will also highlight the use of technology and best practices in organizing vast amounts of data, making it easier to retrieve, update, and maintain it by using key strategies implemented, including data standardization, inventory auditing, and system integration, as well as the importance of clear communication and mutual goals between vendors and libraries.

This presentation will offer practical insights for libraries facing similar issues, with actionable takeaways on how to effectively manage inherited data and turn it into a well-organized, findable resource.

Some of the things we wish we had known and understood early in our FOLIO implementation
Friday May 2, 2025 1:20pm - 2:10pm EDT
Widener University libraries consists of 3 libraries, each on a separate campus – the main campus is in Southeastern Pennsylvania, with two Law School campuses, one in Delaware 20 minutes from the main campus and the other in Pennsylvania, about 2 hours away.
We migrated to FOLIO from III’s Sierra ILS, after many years with the same library system. We expected that there would be a rather sharp learning curve with many changes to our workflows as we moved to FOLIO.
As part of the standard FOLIO migration we met weekly with our wonderful IPM team, meeting often amongst ourselves, via Teams and Zoom. Many of the librarians and staff have never met one another in person, but after many months of regular meetings as well as training sessions, we grew comfortable working together.
At some points in the migration there were unexpected hiccups, times when the migration team didn’t stop to hit us over the head and tell us we needed to see our data differently. I would like to focus on some of these hiccups, to hopefully help the next wave of new FOLIO libraries save time and effort.

From Manual to Magic: Automating User Imports in FOLIO
Friday May 2, 2025 1:20pm - 2:10pm EDT
Discover how MOBIUS has revolutionized patron account management in FOLIO with an innovative automated process.
In this session, we’ll explore how MOBIUS transitioned from Sierra’s scheduler software to FOLIO while maintaining compatibility with existing file formats. Instead of requiring libraries to overhaul their workflows, we developed a seamless solution that converts text files of patron data into JSON format, enabling integration with FOLIO’s mod-user-import API.
Key Highlights:
• Automated Integration: Our solution leverages the mod-user-import module to create and update user records daily. The script runs automatically at 1:00 AM, importing patron data for 50 libraries, with scalability for additional libraries as requested.
• Comprehensive Web Interface: Empower help desk staff with tools to:
o Monitor metrics and review import history.
o Identify failed records and manage patron groups.
o Configure email notifications for import outcomes.
• Technical Implementation Insights: Learn about the use of the POST /user-import endpoint to streamline user data imports.
• Detailed Metrics: See how MOBIUS provides robust metrics on user import outcomes, ensuring transparency and efficiency.
Why Attend?
This session demonstrates how automation can enhance efficiency while maintaining flexibility for participating libraries. Attendees will leave with a deeper understanding of how MOBIUS ensures FOLIO’s patron management processes remain robust, transparent, and user-friendly.

Coming Around: MOBIUS' First ILS Conversion in 25 Years
Friday May 2, 2025 2:20pm - 3:10pm EDT
How does a consortium of 60+ libraries based on a shared ILS platform and a resource sharing system handle disruptive change? Perhaps more importantly, why would you do this in the first place? In many ways it is like turning a battleship. Also, many of these new and essential products are either in development (Locate and OpenRS) or are architecturally new (FOLIO ECS) so providing feedback and testing is all part of the mix. Large, diverse, and geographically dispersed, how do you help lead your membership on his new adventure, so they engage with you throughout the process, so they feel like they have an ownership interest in its success? Come and learn from us on what went right, what went wrong, and what we would do differently during our 2-year odyssey into the brave, new world of open-source software.
